The common causes in order, how to tell which one is yours, and how to fix Microsoft-specific junking.

The Short Answer

Your mail is landing in the Microsoft 365 Junk folder because Microsoft's filter - Exchange Online Protection - does not yet trust your sending IP or domain enough, or because complaints and list problems have eroded that trust. Correct authentication is necessary but, at Microsoft, not sufficient on its own.

The Common Causes, in Order

1. Weak IP or domain reputation. New or low-volume senders start with little reputation. Microsoft filters conservatively until you earn trust.

2. Authentication gaps. Missing or misaligned SPF, DKIM or DMARC. Microsoft increasingly expects all three.

3. Complaints. Recipients clicking “Junk” is the single fastest way to drop into Junk for everyone else.

4. List problems. Dead mailboxes, spam traps and role addresses all read as spammer behavior.

5. Recipient tenant settings. The recipient's own IT department may have tightened their bulk threshold or added rules - which is why one Microsoft tenant junks you and another doesn't.

How to Tell Which One It Is

Check whether the same message inboxes at Gmail (isolates Microsoft-specific reputation), confirm SPF/DKIM/DMARC pass in the message headers, and if you control the IP, review complaint and trap data in Microsoft SNDS. If authentication is clean and Gmail is fine, you are almost certainly looking at a Microsoft reputation problem.

Fixing It

Repair authentication first, then stop the bleeding on complaints and list quality, then rebuild reputation through consistent, engaged sending - a warmup if the IP is new. Where a hard block is involved, you can work with me, an Office 365 email deliverability expert, to get it cleared once the fundamentals are clean - specialist work handled for you, not a DIY step. The full playbook is in the sender reputation guide.

Frequently Asked Questions

Why are my emails going to junk in Microsoft 365 but not Gmail?

Microsoft weighs its own IP and domain reputation more than engagement, so a sender Gmail trusts can still be filtered by Microsoft. If Gmail inboxes and Microsoft junks, the problem is almost always Microsoft-specific reputation, not your content.

Does fixing SPF, DKIM and DMARC guarantee the inbox at Microsoft?

No. Authentication is required but Microsoft also scores reputation, complaints and list quality. Correct authentication removes a negative signal; it does not by itself overcome weak reputation.

How long does it take to get out of the Microsoft junk folder?

Once authentication and list issues are fixed, rebuilding reputation through consistent, low-complaint sending typically takes a few weeks. A hard block cleared by an expert can resolve faster, but only after the underlying issues are addressed.
